Do I need a credit card for the free trial?

What counts as a user?

Anyone in your company with a Taskeb login: admins, managers and employees. Each plan includes up to its user limit.

Can I switch plans later?

Yes. Upgrades take effect right away and you pay only the difference. Downgrades start on your next billing date.

How does yearly billing work?

Pay for 10 months and get 12. Yearly plans are billed once a year and can be refunded within 14 days of payment.

Do my employees need a Google account?

No. Staff sign up with any work email. Only the company admin connects a Google account, which is used for Sheets sync and Drive file storage.

Can my team use it on their phones?

Yes. Taskeb has an Android and iOS app for tasks, diary entries, follow-ups and photo proof, plus a web dashboard for managers and admins.

Who can see an employee's files?

Each employee sees only their own files. Admins can see every employee's files from the Drive index. Managers see work belonging to their own department.

What happens to my data if I cancel?

Your tasks, diaries and verifications are already in your Google Sheet and your files are in your Google Drive. They stay with you after you cancel.

What payment methods do you accept?

All major credit and debit cards, including Visa, Mastercard, American Express and Discover. Enterprise customers can contact us about paying by invoice.

What if we have more than 500 users?

Contact us. We'll set up a custom plan for your headcount with multi-branch setup, custom reports and a dedicated account manager.

What happens when my free trial ends?

Choose a plan to keep going. If you don't, your workspace becomes read-only and your records stay in your Google Sheet.

Can I add users in the middle of a billing cycle?

Yes, up to your plan's user limit at no extra cost. If you need more, upgrade and pay only the difference for the rest of the cycle.

Can I export my data?

Your records are already in your Google Sheet and your files in your Google Drive, so you can use or export them at any time.

We built Taskeb because "I think it's done" isn't good enough.

Taskeb started inside a real company, as a Google Sheet, a set of forms and a lot of follow-up calls. It became the system that team runs on. Now we're making it available to every business that needs proof of work.

Our story

From a spreadsheet to a system.

Like most growing companies, we assigned work over phone calls and group texts, tracked it in spreadsheets and on whiteboards, and spent the end of every week asking who had actually finished what.

So we built a simple tool: every task written down with an owner and a deadline, every employee keeping a daily diary, every result checked by a manager before it counted as done, and everything saved to our own Google Sheet.

It changed how the whole company worked. Taskeb is that tool, rebuilt as a proper web and mobile product so any team can use it.

In a five-person company, structure happens naturally. Everyone knows who does what, and the owner is involved in almost every decision. Somewhere between ten and fifty people, that stops working. Responsibilities overlap. People aren’t sure who to ask. Sensitive information is either locked away in the owner’s head or shared with everyone.

The fix isn’t a thick policy manual. It is a clear, simple structure built into the tools your team uses every day. In this article, we look at how to set up departments, roles and permissions so that everyone has exactly the view they need, managers can run their areas independently, and owners keep full oversight without being a bottleneck.

Why structure matters more than you think

Poor structure shows up in small, daily frustrations:

  • A salesperson doesn’t know who approves discounts, so they ask the owner.
  • Two managers both assume the other is handling a new hire’s onboarding.
  • An employee can see another department’s files, including things they shouldn’t.
  • The owner is copied on everything because nobody knows who else should be.

Departments: mirror how work actually flows

Start by creating departments that match how work really moves through your business, not how an org chart says it should. Common setups include:

Roles: three levels are usually enough

Taskeb uses three roles, and most companies find this covers everything.

Admin (or Owner). Sees every department, every employee’s tasks, diaries and files, and all activity reports. Manages billing, the Google connection, departments and user invitations.

Manager. Runs one or more departments. Creates and assigns tasks, verifies completed work, reads the team’s diaries and sees their department’s activity.

Employee. Sees their own tasks, follow-ups, diary and files. Submits proof and logs their day. Doesn’t see other people’s work unless it is shared with them.

This structure means an employee never has to worry that colleagues can browse their files, and owners never have to worry that sensitive documents are visible to the whole company.

Verifiers: make approval explicit

One of the most useful structural decisions is naming who verifies each type of work. In Taskeb, every task has a verifier, set when the task is created. For recurring tasks, you set it once.

A few guidelines help:

  • Verifiers should be close to the work. A team lead usually understands the result better than the owner does.
  • Avoid single points of failure. If one manager verifies everything, they become the bottleneck. Spread approvals across leads.
  • Use two levels for high-risk work. Payments, contracts and legal documents can require a manager’s approval followed by an admin’s.
Structure isn’t about control. It’s about making sure no decision has to wait for the owner.

Onboarding new people into the structure

A good structure makes onboarding fast. When a new hire joins, you invite them by email, choose their department and role, and they arrive at a workspace that already contains their tasks, their manager and the history of the work they are taking over.

Compare that with the typical experience of being added to several group chats and told to “scroll back to catch up.” Clear structure shortens the time it takes a new person to become productive and makes a strong first impression.

When people change roles

Promotions, transfers and departures are where structure is most often tested. In Taskeb:

  • Moving someone to a new department keeps their history intact. Their past tasks, diaries and verified work stay attached to their profile.
  • Promoting someone to manager gives them access to their department’s tasks and diaries immediately.
  • When someone leaves, their open tasks and follow-ups can be reassigned in one step, and their files remain available to admins in the Drive index.

Common mistakes to avoid

Too many departments. If a department only has one person, it probably belongs inside another.

Everyone as admin. It is tempting to give managers admin access “just in case.” Resist. Admin access should be limited to people who genuinely need to see everything.

No clear verifier. Tasks without a verifier tend to drift. Make the verifier part of every task you create.

Never revisiting the structure. Review your departments and roles every quarter. Businesses change, and your structure should keep up.

Structure for multi-location businesses

Companies with several locations face an extra layer of complexity. Each site needs its own manager and routines, but the owner needs to compare them fairly. A simple approach works well in Taskeb: create one department per location, use the same recurring tasks at every site (opening checklists, stock counts, weekly reports) and assign each location manager as the verifier for their own site.

This setup gives each manager full ownership of their location, while the owner can look across all sites on one dashboard. Differences between locations become easy to spot. If one store completes its weekly stock count on time every week and another regularly runs late, you will see it immediately, and you can find out why before it affects customers.

It also makes expansion simpler. When you open a new location, you duplicate an existing department's recurring tasks, invite the new team and they start with the same proven routines as everyone else.

A simple test for your structure

Once your departments and roles are set up, try this quick test. Pick any recurring task in your business, such as the weekly sales report, the monthly stock count or a customer refund, and ask three people at random who owns it, who checks it and where to find last month's version.

If all three give the same answer without hesitating, your structure is working. If you get three different answers, or a shrug, that task needs a named owner, a named verifier and a home in Taskeb. Repeat the test with a few different tasks each quarter. It takes five minutes and reveals gaps long before they turn into missed deadlines or unhappy customers.
